This policy explains what personal data the woerks.ai website collects, why and how we process it, and what rights you have. It covers this website only.

What we collect

When you send the contact form, we receive your name, work email, company name and your message, if you wrote one. We also record which language version of the page you used.

If you sign up for the newsletter, we record the sign-up and when you confirmed it.

The website's server processes your IP address briefly, to stop spam and abuse. We don't store it with your form details.

The website uses no cookies and no analytics or tracking tools. Fonts and other files are served from our own server, so your browser contacts no third parties when you visit.

Why we process your data, and on what legal basis

To reply to you and arrange a meeting, if you want one. The basis is our legitimate interest in replying to people who contact us and in managing our client relationships (Article 6(1)(f) of the EU General Data Protection Regulation). If your enquiry leads to an agreement, the basis is taking steps before entering into a contract (Article 6(1)(b)).
To send you the newsletter, if you signed up. The basis is your consent (Article 6(1)(a)). You can withdraw it at any time from the link at the end of every newsletter, or by telling us.
To keep the website working and secure. The basis is our legitimate interest (Article 6(1)(f)).

Who processes your data

At Wörks, Mikko Airas handles enquiries. Form data does not pass through the WörksAI platform and is not used to train AI models.

We use service providers that process data on our behalf and on our instructions:

Brevo (Sendinblue SAS, France) stores contact details and sends emails. Brevo keeps the data in the EU.
[hosting provider, country] runs the website's server.
Our email provider delivers the notification of your enquiry to Wörks's inbox.

We don't sell your data or share it with anyone for marketing.

Transfers outside the EU and EEA

We aim to have your data processed only in the EU or EEA. If a service provider does transfer data outside them, the transfer relies on the European Commission's standard contractual clauses or another transfer mechanism allowed by the GDPR.

How long we keep your data

Enquiries: 24 months from our last contact, unless a client relationship requires longer.
Newsletter sign-up: until you unsubscribe. After that, we keep only a record that you must not be sent the newsletter.
Server logs: 30 days at most.

Your rights

You have the right to

know what data we hold about you, and get a copy

have processing restricted
receive the data you gave us in a machine-readable format, where processing is based on consent or a contract
withdraw your consent at any time.

If you think we process your data unlawfully, you can complain to the Office of the Data Protection Ombudsman in Finland (tietosuoja.fi).

Automated decision-making

We make no automated decisions based on your data and do not profile you.

We update this policy when our practices change. The date of the latest update is at the top.
